PRESIDENT - The President schedules and presides at all meetings of the Club and of the Board at which he/she is present and directs the policies and activities of the Club, subject to the authority and instructions of the Board. The President assures that all board members fulfill their responsibilities. In case of resignation or non-performance of duties of a board member, the President must either find another individual to perform that board members duties or perform those duties until a suitable replacement is found. The President is an elected Executive Member of the Board.
VICE-PRESIDENT - In case of absence, resignation, or incapacitation of the President, the Vice President shall perform the duties of President. She/he shall exercise and accept such responsibilities regarding matters which may be assigned or delegated to him/her by the President or the Club. The Vice President is an elected Executive Member of the Board.
SECRETARY - The Secretary keeps the minutes of all Board meetings and sends them to the board for correction. The Secretary also handles any correspondence that is requested by the President and preserves historical facts concerning the Club, and shall perform other duties as requested by the Board. The Secretary is an elected Executive Member of the Board.
TREASURER - The Treasurer collects all dues and revenue and deposits the same in a depository approved by the Board, pays proper bills, keeps the accounts of the Club, and reports on the Club’s financial status at each board meeting. The Treasurer provides the Board an annual report for the year at the end of the fiscal year. The Treasurer is authorized to sign checks and contracts in the name of the club, including “Seller of Travel”, appropriate insurance and completes the club’s annual Taxes. The Treasurer is an elected Executive Member of the Board.
MEMBERSHIP DIRECTOR -Membership maintains records of past and current membership (membership roster), encourages new members to join the club, and is responsible for identifying, notifying and encouraging lapsed members to rejoin. Membership provides a monthly report to the board on membership numbers. The Membership Director is an elected Executive Member of the Board.
TRIPS DIRECTOR - The Trips Director proposes the calendar schedule and destinations for the next year’s ski season taking into consideration calendar conflicts, overlap or closeness to other trips and activities. The Trips Director either directly, or through designated Trip Leaders, is responsible for working with tour operators to secure good value for the price on accommodations, airfare and or bus operators, lift tickets, and associated activities, and for review of projected expense and sales figures, and associated gain and loss calculations. The Director is also responsible for assuring all Trip Leaders are aware of current trip related policies and procedures, and for assuring they are trained on how to lead trips and handle the accounting. The Trips Director is a NON-ELECTED Executive Member of the board, appointed by the Executive Board.
ACTIVITY DIRECTOR – The Activities Director is responsible for identifying all social/non-ski activities, and scheduling activities so as to minimize conflicting or overlapping similar activities. The Director solicits/appoints leaders for each activity, including the annual End of Year Party. The Director ensures all activities are properly promoted to ensure maximum member participation and no loss of funds to the club. Activities Director is an appointed member of the Board.
NEWSLETTER DIRECTOR – Writes and produces the monthly newsletter to promote our monthly meeting and upcoming events. Solicits input from the board and event leaders for write-ups and photos from their recent activities and other articles of interest. Edits write-ups as appropriate. Newsletter Director is an appointed member of the Board.
COMMUNICATIONS DIRECTOR – The Communications Director is responsible for notifying and promoting our activities in a timely manner to members and interested non-members on our mailing list. The Communications Director should monitor trip and activity participation with event leaders to fill activities to the maximum and to avoid the club incurring losses. Communications Director is an appointed member of the Board.
SAN DIEGO COUNCIL REP – Represents Action on the San Diego Council of Ski Clubs by attending their meetings and ensuring Action’s interests and needs are met. Updates the Action Board on Council activities and encourages Action participation in Council activities when appropriate, providing flyers and event information to the appropriate board members for promotion. San Diego Council Director is an appointed member of the Board.
MARKETING DIRECTOR – The Marketing Director is responsible for promoting membership in the club, and for notifying and promoting our activities in a timely manner to members and interested non-members, including specifically through public/social media (such as Facebook or Meetup). The Marketing Director ensures that all events are posted in a timely manner, that events are updated and resent as needed when events are changed or have not yet filled. The Marketing Director also proposes other ways to promote the club to the Board, produces marketing materials and provides input regarding club paraphernalia procurement, distribution and sales (e.g., Action logo shirts, beanies, luggage tags). Marketing Director is an appointed member of the Board.
WEBMASTER – Responsible for assuring the club website works properly. Serves as club liaison with the website service provider, when necessary. Ensures the website is kept up-to-date by assisting Board members in posting current events and activities, and updating other website pages as appropriate and in a timely manner. Webmaster is an appointed member of the Board.
PAST PRESIDENT – The Past President shall provide guidance, knowledge, and assistance to the current President and to the entire Board for the duration of one year.
